Booking Terms and Conditions

These terms are in three parts. Part 1 applies to every booking. Part A applies only to private parties, events and catering. Part B applies only to woodland experiences and classes, and to gift vouchers. Nothing in Part A applies to woodland experiences or classes, and nothing in Part B applies to private parties or events.

Key terms at a glance

Woodland experiences and classes (Part B)

  • You pay the full ticket price when you book online. There is no deposit.
  • Cancel at least 14 days before your class for a full refund. Less than 14 days before, no refund is given.
  • We may move your place to another 2027 date at our discretion if you ask at least 28 days before your class. We cannot move places within 28 days of the class.
  • If you do not turn up, or arrive too late to take part, no refund or move is given.
  • Gift vouchers are valid on 2027 dates only and must be used on or before Friday 8 October 2027.

Private parties and events (Part A)

  • Your booking is confirmed once you pay a 25% deposit, which is non refundable. The balance is due 7 days before your event.
  • If you cancel within 7 days of your event, 50% of the total price is payable; within 72 hours, 75%. We reduce these charges where we can (clause A5).
  • Your price is based on the guest numbers you book. Extra guests cost extra; we do not refund for fewer guests.

Part 1: Terms for every booking

1. Who we are and how these terms work

1.1 These terms apply to private parties, events and catering (Part A) and woodland experiences and classes (Part B) booked with Daddy Bear Grills Limited ("we", "us"), a company registered in England and Wales with company number 16075544, whose registered office is at Nexus House, Albion Place, Maidstone, Kent, ME14 5EG. You can contact us at info@daddybeargrills.com. "You" means the person who makes the booking.

1.2 Your booking is made up of these terms and our written booking confirmation. If the two differ, the booking confirmation wins.

1.3 Please contact us by email at info@daddybeargrills.com. We deal with all bookings, changes and cancellations by email.

1.4 We are not VAT registered, so no VAT is charged.

1.5 Because our bookings are for a specific date, the 14 day cancellation right for online and phone purchases does not apply to them. Your cancellation rights are in clause A5 for private parties and events, and in clause B5 for woodland experiences and classes. Gift vouchers have their own 14 day cancellation right in clause B8.

2. Food and allergies

2.1 Please tell us about all allergies and dietary needs when you book, and of any changes before the event. We will tell you what we can safely provide.

2.2 Our food is cooked outdoors in a shared space and may contain or come into contact with the 14 major allergens. We cannot guarantee any dish is allergen free. [FOR WAYNE TO CONFIRM]

3. Safety

3.1 Our events involve open fire, hot equipment, and tools including knives and axes. Your safety and your guests' safety comes first.

3.2 Only our staff use the axe. It stays in the chopping block in the staff area. Guests must never touch the axe or pull it out of the block, and must keep out of the staff area. Other tools and knives are for our staff only, unless guests have been given a supervised briefing by us.

3.3 Guests must follow our instructions at all times and use tools and equipment only as we show them. We may stop any guest taking part if they do not follow instructions, appear to be affected by alcohol or drugs, or are putting themselves or others at risk.

3.4 Children must be supervised by a responsible adult at all times.

3.5 You agree to share these safety rules with your guests before the event.

4. Responsibility and insurance

4.1 We hold public liability insurance of £5 million. [FOR WAYNE TO CONFIRM]

4.2 Nothing in these terms limits our responsibility for death or personal injury caused by our negligence, or anything else that cannot be limited by law.

4.3 Otherwise, our total responsibility to you is limited to the price of your booking. We are not responsible for losses we could not reasonably have foreseen. [FOR WAYNE TO CONFIRM]

4.4 You are responsible for damage caused by you or your guests to our equipment, other than normal wear and tear.

5. Photos

5.1 We may take photos of food and set up at your event to use on our website and social media. We will not post photos where guests can be identified without permission. Tell us if you would rather we took none. [FOR WAYNE TO CONFIRM]

6. Your information

6.1 We use your details to arrange and deliver your booking. Our privacy notice at daddybeargrills.com/privacy explains what information we collect, including allergy and dietary information, how we use and share it, how long we keep it and your rights.

7. Problems and complaints

7.1 If something is not right on the day, please tell us straight away so we can try to put it right. If you have a complaint afterwards, email info@daddybeargrills.com within 14 days and we will reply within 14 days.

8. General

8.1 These terms are governed by the law of England and Wales. Your statutory rights as a consumer are not affected.

Part A: Private parties, events and catering

This part applies only to private parties, events and catering. It does not apply to woodland experiences or classes (see Part B).

A1. Making a booking

A1.1 A quote or enquiry is not a booking. Your booking only counts once your deposit has been paid. We will then send you a written booking confirmation.

A1.2 Quotes are valid for 14 days.

A2. Price

A2.1 Every event is quoted individually, based on your date, venue, guest numbers and menu.

A2.2 The minimum price for a private event is £1,000. Yhangry bookings only: for events booked through Yhangry, the minimum spend is £1,250.

A2.3 Your quote will say what is included, for example food, cooking equipment, staff and set up. Anything not listed is not included. Plates and cutlery are not included, but we can provide them as an extra if you ask.

A3. Payment

A3.1 A deposit of 25% of the total price is due on booking. The deposit is non refundable.

A3.2 The balance is due no later than 7 days before the event. If it is not paid on time we will remind you, and if it is still unpaid we may treat the booking as cancelled by you under clause A5.

A3.3 Any extra guests or changes agreed after the balance is paid will be invoiced separately and are due before the event.

A4. Guest numbers and changes

A4.1 Your guest numbers are confirmed when you book and set your price.

A4.2 If you want to add guests, tell us as soon as you can. We will confirm whether we can cater for them and charge for them at the rate in your quote.

A4.3 If you reduce your numbers, or fewer guests attend, the price stays the same and we do not refund the difference, because we buy food and book staff for the number you booked.

A4.4 We will try to accommodate other changes, such as times or menu, but cannot guarantee them. Any change in price will be confirmed in writing.

A5. If you cancel a private party or event: please read this carefully

A5.1 If you need to cancel, please tell us by email at info@daddybeargrills.com. Charges are worked out from the date we receive your email.

A5.2 Why we charge. When you book, we hold your date for you and turn away other bookings for it. As your event gets closer, we buy produce, book staff and prepare equipment for you. The charges below are our honest estimate of what we usually lose if an event is cancelled at each stage. They are not a penalty.

A5.3 What you pay if you cancel:

  • More than 7 days before the event: you lose your deposit (25% of the total price), and nothing more is payable. This covers holding your date and turning other bookings away, plus planning work already done.
  • 7 days or fewer before the event: 50% of the total price. By this point we have usually ordered produce and booked staff, and it is unlikely we can fill the date.
  • 72 hours or fewer before the event: 75% of the total price. By this point produce has usually been bought and prepared, staff cannot be stood down without cost, and the date cannot realistically be rebooked. You will never pay more than 75% of the total price.

A5.4 We will reduce what you pay where we can. If we rebook your date, or reuse or return stock bought for your event, or avoid staff costs, we will reduce the 50% or 75% charge by the amount we save or recover, and refund you the difference. If you ask, we will tell you how we worked it out.

A5.5 If you have paid more than the amount due, we will refund the difference within 14 days of your cancellation, or within 14 days of the event date where A5.4 applies.

A6. If we cancel a private party or event

A6.1 If we have to cancel for a reason within our control, we will refund everything you have paid in full, including your deposit, or offer a new date if you prefer.

A6.2 If an event cannot go ahead or must be cut short because of something outside our reasonable control, such as severe weather warnings, fire restrictions, illness or emergencies, we will offer a new date first. If no date suits, we will refund what you have paid, less any costs we have already reasonably spent on your event, which we will show you. [FOR WAYNE TO CONFIRM]

A7. Travel

A7.1 Travel is included for any venue up to 1 hour from Maidstone. For venues further away, there is an extra travel charge, which we will quote before you book.

A8. The venue and weather

A8.1 You are responsible for making sure we have permission to use the venue, including any landowner or venue consent for open fires and cooking.

A8.2 You must give us safe access, a suitable level area for cooking and fire, and tell us about any restrictions, such as fire bans, overhead hazards or parking limits, before the event.

A8.3 We cook outdoors and events go ahead in most weather. Please plan cover for your guests if needed. Rain alone is not a reason for a refund. [FOR WAYNE TO CONFIRM]

A8.4 We will clear and leave tidy our own cooking area and make our fire sites safe before we leave. We do not clear up after guests, for example plates, cups, food or rubbish in guest areas.

Part B: Woodland experiences and classes

This part applies only to woodland experiences and classes at Liz's Yard, Groombridge, Kent, and to gift vouchers. Deposits, payment schedules and cancellation charges in Part A do not apply to experiences or classes.

B1. Prices

B1.1 Tickets for 2027 Fire Starter and Fire Master classes cost £160 per person. Tickets for the 2027 Beef Butchery Day cost £180 per person; a 2027 gift voucher can be used for it by paying the £20 difference. Our 2026 programme has finished.

B2. Payment

B2.1 You pay the full ticket price when you book online, through our secure online checkout. There is no deposit. Your place is confirmed once payment has gone through, and we will email you a confirmation.

B3. Safety and dietary questions

B3.1 After booking, the person who made the booking (the lead booker) completes a short online form answering a few safety, health and dietary questions for everyone in their group, and confirms they have their guests' agreement to share these answers. The link is in your confirmation email and the form must be completed before the day.

B3.2 If the form has not been completed, we will ask the questions on arrival before the session starts. We may not be able to let a guest take part if the questions have not been answered.

B3.3 Every guest who takes part in any hands on activity must complete our safety induction first, before handling any tools or knives or working near the fire. Please let your guests know about the questions and the induction before the day.

B4. Weather

B4.1 Classes run outdoors in the woods and go ahead in most weather. Please dress for the weather. Rain alone is not a reason for a refund. [FOR WAYNE TO CONFIRM]

B5. If you cancel a woodland experience or class

B5.1 To cancel, email info@daddybeargrills.com. Notice is worked out from the date we receive your email.

B5.2 If you cancel at least 14 days before the class, we will refund the ticket price in full.

B5.3 If you cancel less than 14 days before the class, no refund is given.

B6. Moving your date

B6.1 If you would like to move your place to another 2027 date, please email us at least 28 days before the class. Moves are at our discretion and depend on space on the new date.

B6.2 We cannot move places within 28 days of the class.

B7. No shows

B7.1 If a guest does not turn up, or arrives too late to take part, no refund or move is given.

B8. Gift vouchers

B8.1 Gift vouchers are valid for 2027 woodland experiences and classes only. Your voucher must be booked onto and used at a 2027 date on or before Friday 8 October 2027, the date of our last class. Any voucher not used by then will expire and cannot be refunded or extended.

B8.2 Vouchers bought for 2026 cannot be used for 2027 dates.

B8.3 A 2027 voucher can be used for the Beef Butchery Day by paying the £20 difference.

B8.4 You have 14 days from the date you buy a gift voucher to cancel it for a full refund, unless it has already been booked onto a dated experience in that time.

B8.5 Once a voucher is booked onto a date, clauses B5 to B7 apply to that booking.

B9. If we cancel

B9.1 If we have to cancel a class or experience, we will offer you another date or a full refund, whichever you prefer.
